The following privacy notice (hereinafter “Notice”), created by Forto Logistics SE & Co. KG (hereinafter “Forto” or “we/our/us”), aims at detailing the processing activities carried out with the personal data You provide by leaving Your business card in the glass box found in the Forto booth at the Transport Logistic 2025.

Summary: What is our intention?

Forto is a digital freight forwarding company committed to offering sustainable and efficient shipping services. As part of our participation at Transport Logistic 2025, we are running an interactive AI-powered game at our booth to engage visitors and showcase our technology. At the end of the game, participants will have the opportunity to voluntarily submit their contact information through a digital form to receive a small giveaway and enter a raffle to win an iPad.
The raffle shall be carried out in accordance with the Forto AI Trivia Game Raffle – Terms and Conditions. Participation in the Forto AI Trivia Game Raffle is entirely voluntary. Condition for prize eligibility is the submitting of contact information to Forto by filling out the digital form presented by us and providing consent for our processing of the contact information provided by you for purposes of marketing and possible business relationship establishment. The lack of provision of consent excludes from the raffle prize eligibility, however does not impede the data subject from participating in the quiz part of the Forto AI Trivia Game.

Forto has designated a data protection officer for all its global operations involving the processing of personal data, who can be reached by sending communications to Forto Logistics SE & Co. Purpose and Legal Basis of processing

The purposes of processing are identified in the:

• enabling the data subject to participate in the Forto AI Trivia Game Raffle, organised by Forto during the Transport Logistic 2025.
• contacting the data subject further, looking to establish a business relationship with the data subject’s employer or otherwise represented party.

The legal basis of processing is identified in the data subject’s consent, on the basis of Art. 6(1)(a) GDPR.

Your consent can be revoked at any time, without providing justification, by sending Us an email communicating the revocation of consent, at [email protected]. We will comply with Your request as soon as possible, once We receive Your revocation.

The personal data You provide us will be processed by us until the stated purposes are fulfilled or expire, such as in the case no business relationship will come to fruition.

Recipients and Transfers of Personal Data

The collected contact information is shared and uploaded onto Forto’s contact management systems and platforms, for managing the contact profile and related tasks. In particular, your contact information may be processed by the following service providers:

 

 

The transfer of personal data to a third country outside of the EEA is carried out only on the basis of a prior assessment of the subprocessor for compliance with data protection law and Forto’s information security standards, as is standard practice for any engagement of a subprocessor. Forto ensures that all transfers of personal data to third countries are carried out on the basis of transfer mechanisms in accordance with Art. 45 (3) GDPR, an adequacy decision from the European Commission, as is currently the case for transfers to the United States of America, or, in the absence of an adequacy decision, on the basis of one of the mechanisms described under Art. 46 (2) GDPR, namely with the inclusion of the latest standard contractual clauses issued by the European Commission in the data processing agreements concluded with each subprocessor.

The personal data collected in the context of the aforementioned processing activities are not sold further, but are processed only in accordance with what has been stated previously in this Notice.

No automated decision-making process is taken on the collected personal data.

Data Subject Rights

In case you, as a data subject, would like to exercise any of the rights listed below, please send an email to [email protected] describing your request. Our data protection team is standing by to ensure the fulfilment of your request. The data protection team might follow up with further questions regarding your request, in order to satisfy your request as best as possible. Whenever applicable and unless proven impossible or a disproportionate effort, Forto will extend your request to any of the processors, mainly 3rd-party service providers, which might have received your personal data in the context of Forto’s processing activities, so that these may also fulfil your request.

Apart from the already mentioned right to withdraw Your consent for the processing activity, You have the right to exercise the following rights:

• request access to the personal data about You that we process;
• rectify the personal data about You that we store;
• have the personal data about You that we store permanently deleted, unless applicable law allows us to retain it;
• have the personal data about You that we store restricted, in case we need to review the legitimacy of another data subject request You have filed;
• receive the personal data about You that we store in a structured, commonly used and machine-readable format, or have it transferred directly to another controller, without hindrance.

Additionally, You have the right to send a complaint to a data protection supervisory authority of Your choice, at any time. You may reach the supervisory authority responsible for Forto under the following information:
